Book Accounts
The Book Transfer Account Permission Service allows you, your company's administrator, to manage who can transfer money between which accounts, and how much, how often using three easy steps:

Select User from User List Box
Select User Permissions - Activate accounts using or Deactivate using
Select Change Type/Limits - Complete Required Data

NOTE: You may only distribute those accounts to which you have permission. If you are the company's administrator you most likely have access to all of your company's accounts and may permit those to users as needed. You may not permit or remove any accounts to yourself and you may not modify the parameters of any accounts for yourself. Only First Citizens operators may modify your account set.

Selecting the User
This list box contains the User Code and Name of each user in your company. Click on a user name to select it.

NOTE: You may not select your own name/group from this list. See the Overview at the end of this file for details.

Setting Account Assignments
When you select a User, the Permissions Selection list boxes display with accounts associated with the selected user.

Assign accounts to a user by moving an Inactive Account to the Active Account list.

Unassign accounts from a user by moving an Active Account to the Inactive Account list.

Changing Type/Limit for Active Accounts
The top of the Active Accounts list box contains the Change Type/Limit button. When you add an account to a user, you must select this button and define the parameters of each account assigned to the user. There are four fields of information to define:
  • Account Type - Defines whether the user may move money from (Debit) the account, to (Credit) the account, or both (Debit/Credit)
  • Max Amount - Defines the maximum amount of money the user can move from the account with any one transfer. For example, if the Max Amount limit is set at $1000, the user can generate individual book transfers that debit the account for no more than $1000.
  • Max Amount per Day - Defines the maximum amount of money the user can move from the account for a single processing day. For example, if this limit is set at $5000, the user can debit the account for a total of $5000 in a single processing day. Each processing day's total is tracked separately so that if the user enters a transfer for a future date, that future day's totals will be affected.
  • Max Number per Day - Defines the total number of debit book transfers that the user can initiate for a single processing day. For example, if the limit is 10, even if the Max Amount per Day limit has not been reached, no more than 10 debiting transfers can be initiated.

At a minimum, the Account Type must be defined. When the Change Type/Limit button is selected, the Account Type field defaults to "debit/credit" and the max limit fields defaults to "None". If the user is not to have any limits imposed, and may move money into and out of the account(s), these defaults may be left as is. Alternatively, any or all limit fields may be defined with a value. Each field functions independently of the others and therefore some may have a limit defined and some may be left with no limit.

Once all necessary changes have been made, selection of the Submit button saves the changes. Selecting the Reset button clears all entries made and sets all fields to the values they had at the beginning of the session.

Prior to initiating requests from the Stop Pay Service, the customer must have Stop Pay accounts ASSIGNED permissions. Note: The accounts listed are those accounts established via the Account Maintenance Service, and permitted to the Corporate Customer through the Corporate Account Permission Service.

Selecting the Users
The Users list box displays with a list of Users for the selected customer. In the Users list box, click a user name. 

Permissions
The Inactive Accounts list displays the accounts available for the selected user. To assign or unassign account permissions, select one or more account, then move them between the active and inactive lists using the add (>) and remove (<) buttons. Both list boxes allow multiple selection.

The User Maintenance Service supports creation and maintenance of user associated with corporate customers. Accessible to First Citizens and Corporate Users, this service consists of Add, Change, Delete, and Display functions. All corporate customer users in the system are defined through User Maintenance.

All Users are stored in the User table (First Citizens personnel are maintained through First Citizens Service); each User constitutes one record in the table. The key fields for a User record are the Customer Code and the User Code, the Customer Code being unique across the entire system and the User Code being unique within the Customer. The User Code is used throughout the system to link users to their customer codes, accounts, services, and some data transactions.

The system supports definition of Corporate Administrators, which are Corporate Users that may perform certain administrative tasks such as maintaining other Users, and allocating services and accounts to those Users. Corporate Administrators are subject to certain restrictions, in that they may create Users for only their Customer Code, and may allocate only those services and accounts to which they have been permitted.

Adding a Corporate User
  • Enter a unique code in the Code field (up to 12 alphanumeric characters).
  • Enter a Name:
  • Click Add
  • Enter data as appropriate. All required fields are in red.
    • User Password (4 – 8) The User uses this password during system logon.
    • Retype Password Same as User Password
    • User Name (up to 40 characters) Customer User's Name
    • Address 1 of 2 (up to 40 characters) Address line 1
    • Address 2 of 2 (up to 40 characters) Address line 2
    • City (up to 25 characters).
    • State or Province (up to 25 characters)
    • Postal Code (up to 25 digits)
    • Contact Name (up to 40 characters) The name of the main contact person for the user, may or may not be the user
    • Telephone (up to 25 digits) The Contact’s phone number
    • Data Phone (up to 25 digits) The Contact’s data line phone number
    • Fax Phone (up to 25 digits) The Contact’s fax number
    • E-Mail (up to 25 characters) The Contact’s e-mail address.
    • Enable Date (up to 10 digits) The first date the Customer may access the system
    • Administrator - Yes/No - Defines if the user is an administrator
  • Click the Add button to add the new Corporate User to the list or Clear to start over.
Changing Corporate User Data
  • To locate a Corporate User, do one of the following in the Users list box:
    • Enter a Code (or the first few characters) in the Code field to limit the search and then click Find/Refresh to list the codes that match.
    • Click Find/Refresh to list all existing Corporate Users.
  • Select the Corporate User to be changed.
  • Click Change . The Change Corporate User page displays with the existing values
  • Change any fields.
  • Click the change button to submit the change or clear to start over.
Deleting a Corporate User
  • To locate a Corporate Customer, do one of the following in the Customers list box:
    • Enter a Code (or the first few characters) in the Code field to limit the search and then click Find/Refresh to list the codes that match.
    • Click Find/Refresh to list all existing Corporate Customers.
  • Click on a Customer name to select it. The Users list box displays with all existing users for the selected Customer.
  • To locate a Corporate User, do one of the following in the Users list box:
    • Enter a Code (or the first few characters) in the Code field to limit the search and then click Find/Refresh to list the codes that match.
    • Click Find/Refresh to list all existing Corporate Users.
  • Select the Corporate User to be deleted.
  • Click the delete button.
  • The Delete Verification page displays with the current data.
  • When you are certain this is the Corporate User to delete, click delete.

Displaying Corporate User Details

  • To locate a Corporate Customer, do one of the following in the Customers list box:
    • Enter a Code (or the first few characters) in the Code field to limit the search and then click Find/Refresh to list the codes that match.
    • Click Find/Refresh to list all existing Corporate Customers.
  • Click on the Customer name to select it. The Users list box displays with all existing users for the selected Customer.
  • Select the Corporate User(s) to be displayed.
  • Click the display button.
  • The Corporate User(s) selected are displayed with the current data

The User Service Permissions Maintenance Service supports service allocation to corporate users. Accessible to First Citizens and Corporate Users, this service consists of add and delete functions. All services are permitted to corporate users through User Service Permissions Maintenance.

All Permissions for Corporate personnel are stored in the Permission table. Each User’s service list constitutes one record in the table. The key fields for a User Permission record are the Customer Code and the User Code. The Customer Code being unique across the entire system and the User Code being unique within the Customer.  

Selecting the User
The Users list box displays with a list of Users for the selected customer. In the Users list box, click a user name.

Setting Permissions
The Inactive Services list displays the services available for the selected user. To assign or unassign service permissions, select one or more services, then move them between the active and inactive lists using the add (>) and remove (<) buttons. Both list boxes allow multiple selection.
