Selecting the User This
list box contains the User Code and Name of each user in your company. Click on
a user name to select it. NOTE:
You may not select your own name/group from this list. See the Overview at the
end of this file for details. Setting
Account Assignments When
you select a User, the Permissions Selection list boxes display with accounts
associated with the selected user. - Assign
accounts to a user by moving an Inactive Account to the Active Account list.
- Unassign
accounts from a user by moving an Active Account to the Inactive Account list.
Changing
Type/Limit for Active Accounts The
top of the Active Accounts list box contains the Change
Type/Limit button. When you add an account to a user, you must
select this button and define the parameters of each account assigned to the user.
There are four fields of information to define: - Account
Type - Defines whether the user may move money from (Debit) the account, to
(Credit) the account, or both (Debit/Credit)
- Max
Amount - Defines the maximum amount of money the user can move from the account
with any one transfer. For example, if the Max Amount limit is set at $1000, the
user can generate individual book transfers that debit the account for no more
than $1000.
- Max Amount
per Day - Defines the maximum amount of money the user can move from the account
for a single processing day. For example, if this limit is set at $5000, the user
can debit the account for a total of $5000 in a single processing day. Each processing
day's total is tracked separately so that if the user enters a transfer for a
future date, that future day's totals will be affected.
- Max
Number per Day - Defines the total number of debit book transfers that the
user can initiate for a single processing day. For example, if the limit is 10,
even if the Max Amount per Day limit has not been reached, no more than 10 debiting
transfers can be initiated.
At
a minimum, the Account Type must be defined. When the Change
Type/Limit button is selected, the Account Type field defaults to "debit/credit"
and the max limit fields defaults to "None". If the user is not to have
any limits imposed, and may move money into and out of the account(s), these defaults
may be left as is. Alternatively, any or all limit fields may be defined with
a value. Each field functions independently of the others and therefore some may
have a limit defined and some may be left with no limit. Once
all necessary changes have been made, selection of the Submit
button saves the changes. Selecting the Reset
button clears all entries made and sets all fields to the values they had at the
beginning of the session. 
Book
Transfer Input The
Book Transfer Input Service enables you to move funds between two accounts at
The Exchange Bank. The Exchange Bank has established accounts between which you
may move money and may have worked with your company to determine how much you
can move within any given day.
Creating
a Book Transfer consists of selecting the from and to
accounts, entering a transfer amount, an optional processing date, and some informational
text. Once the Transfer has been entered, you receive a confirmation message reiterating
the information generated and providing you with a reference number that you can
use in tracking. The
Book Report Service, a separate service, allows you to review Book Transfers entered
for today and previous days. The
Confirmation Page The
Confirmation Page displays all the details about your book transfer. You can print
this page and use it for future reference. The information displayed includes:
- Your Name
- Your
Company's Name
- Your Address
- The Debit Account Number and
Name from which you are moving money
- The
Credit Account Number and Name to which you are moving money
- Any
Additional Information you entered
- The
Date and Time you added the transfer to this system
- A
Response indicator, showing whether the bank's system accepted your transfer request
- The amount of money to be moved
between the specified accounts
- The
date on which the transfer will be posted
- A
system wide reference number consisting of Julian Date and unique sequence number
- A sequential company wide reference
number
- Legal information
- A blue underlined e-mail link
to Customer Service, in case you have questions
Once
you have received this confirmation message, you can be assured that the bank
has or will receive your transfer to process. At this point, you may select the
Book Input Service to enter another book transfer, select another service within
this system, or logout of the system. 
Setting
Data Selection Criteria From
Account Number List This
list box displays accounts "from" which you may move funds. Each account
in the list is identified by account number, currency, and account name. To select
an account, scroll through the list to find the account that you want to move
money out of (debit) and click on it. The account you select is displayed in the
From Account window. The system will not allow you to use the same From
and To account in a single Transfer. To
Account Number List This
list box displays accounts "to" which you may move money. Each account
in the list is identified by account number, currency, and account name. To select
an account, scroll through the list to find the account that you want to move
money into (credit) and click on it. The account you select is displayed in the
To Account window. The system will not allow you to use
the same From and To account in a single Transfer. Amount
This is the amount of
money to move from one account to the other. If you are entering dollars and cents,
you need to enter a decimal between the dollar value and the cents value. If you
are entering zero cents, you are not required to enter a decimal. If you are entering
more than $999.99, you may enter commas, but they are not required. The
Exchange Bank may impose daily and individual transfer limits on each account
from which you may move money. If so, there may be a limit to the
- amount you may move in a single
transfer, from a single account
- amount
you may move in a single day, from a single account
- number
of transfers you may make in a single day, from a single account.
If
you try to exceed any of these limits, the system displays a message stating that
you are trying to move too much. Processing
Date This is the
date on which you want The Exchange Bank to make the transfer between the two
accounts. The system automatically supplies the date of the soonest available
business day in this field. The Exchange Bank has defined a cutoff time for accepting
book transfers for today's processing. If you are entering a transfer after that
cutoff time, the date in this field will be the next business day on which this
transfer could be posted. You may also enter a date in the future, if suitable.
Book transfers entered for future dates are held by the bank until the specified
date, on which they are to be posted. The system will not allow you to enter transfers
for holidays or non-business days such as weekends. Additional
Information This
optional field allows you to provide up to 80 characters of information. This
information is reflected on the Book Transfer Report and can be used for your
internal reference. If The Exchange Bank accepts the information on the transfer,
it may be reflected on your balance statement. Check with your account manager
to determine if this information is passed through the bank's systems. The
Data Entry Page Buttons - Submit
- Once you have entered all information and have looked over your entry, click
this button to send the transfer to the bank. Depending on how The Exchange Bank
processes transfers initiated by this system, your transfer will either be posted
to your account immediately or later in the day. Check with your account representative
to determine when posting is actually performed. Once you have clicked on the
Submit button, you are
presented with a Confirmation Page. The Confirmation Page displays all the details
about your book transfer. You can print this page and use it for future reference.
- Reset
- This button resets all fields to their original values. The account selection
lists resets to display the first account in the list, the amount is reset to
zero, the processing date is set to the next business day, and the additional
information is blanked out. This allows you to start over, if needed.

Book
Report Book Transfer
Report lets you review Book Transfers generated through this system. To generate
a report, you must filter the amount of information displayed by entering selection
criteria through the Data Selection Page. You may specify such criteria as dates,
amounts, accounts, and sort order. The report is presented in a horizontal format,
with up to three lines per transfer, and separated by account. You may print the
report to save a paper copy for future reference.
The
Book Transfer Report This report displays the book transfers specified
through the Data Selection Page. You may print the report to save it for future
reference. It consists of two sections, the header and the body. The
report header contains: - Your
company's name
- The
name of the report, Book Transfer Report

The dates specified on the Data Selection Page

The date and time you displayed the report
The
body of the report is divided by From (Debit) account, unless you specified
To account in the Sort selection list, in which case the body is divided by
To (Credit) account. Within each account section the transfers are sorted
by trace number/processing date unless you specified amount. The
information for each transfer is reported on up to three lines: the first line
being the details of the transfer, the second line being any additional information
entered and the third line being the bank's host system's response. The
details consist of: - "Non-sort
by" account number
- "Non-sort
by" account name
- Processing
date, the date on which the bank will/did process the transfer
- Amount
- Date and time the transfer
was entered.
- Bank Trace
Number
- Customer Trace
Number
Setting
Report Selection Criteria The
Data Selection Page provides you with many options for filtering and formatting
the data to display on the report. You may use any or all options, alone or in
combination. From and
To Account Number Lists This multi-selection list box displays the banks
and accounts for which you may view information. The default selection is "All
Accounts," which would display all information for all accounts to which
you have access. Each account in the list is identified by the reporting bank,
account number, currency, and account name. Entry
and Processing Dates To the left of the Date field is a select
list containing the values entry and processing. Because the system
allows you to enter book transfers to be processed in the future, this select
list gives you the flexibility to determine whether the date or dates that you
want represented in the report are those on which data was entered (entry date)
or those for which data was entered (processing date.) If you select entry,
all subsequent filters are applied to transfers that were entered on the date(s)
you enter in the date fields to the right, regardless of when they were processed
by the bank. If you select processing, all filters apply to transfers that were
processed by the bank on the date(s) that you select, regardless of when they
were entered. The date
fields default to the current date, but you may enter any appropriate date in
the past or future. The date must be entered in day, month, year format
using the numeric values of the month, such as 01 for January and 12
for December. You may enter the year as four digits or two, even after 1999. The
dates you enter are inclusive and if transfers exist for these dates, they are
displayed. Amount
This is the amount of the item or items to display. The amount values you
enter are inclusive and if transactions of this amount exist, they are displayed. Bank
Trace Number This is the confirmation number that was assigned to the
book transfer when it was entered. The bank trace number is made up of
a Julian Day number, followed by a sequential number which represents the individual
book transfer. For example, a bank trace number of 320010 would represent the
10th book transfer entered for processing date February 1. This number is
unique across your bank. Customer
Trace Number This is the confirmation number assignment used for book
transfers initiated by your company. It is a sequential number between 1 and 9999.
It is not tied to any particular date or year, but is intended to help you track
the transfers entered by you and your co-workers. This number is unique within
your company for the Book Transfer Service. Other transaction initiation services
use their own customer trace number. Setting
Report Characteristics Type
- Type currently defaults to Summary.
From this Summary report, you may select a specific transfer and view its detail.
The Detail option is reserved for future use.
Style
- Style currently defaults to
Table. The report displays with column headers displayed in The Exchange Bank's
colors. The Raw option is reserved for future use.
Sort
This determines how information is sorted in the report. You may select:
- from account

to account
- amount
-
processing date
The
Data Selection Page Buttons - Submit
- After you have selected the desired filters, selecting this button generates
the requested report, which is displayed as a new page in your browser work area.
- Reset
- This option resets all filter fields to their original values.
